Laptop Repair Job Sheet Format: What to Record Before You Open the Chassis
A laptop job sheet isn't a phone job card with the IMEI field renamed — accessories, chassis condition and diagnosis all need different fields. Here's the structure that actually holds up at delivery.
Why a Laptop Job Sheet Needs Its Own Format
A mobile job card is built around the IMEI and the screen. A laptop repair carries higher parts costs, more handed-over accessories, and more surfaces where a customer can point at a mark and say "that wasn't there before." The job sheet has to cover both:
- For the customer: proof of what was handed over — the laptop, its accessories, and its condition — and what was estimated before work started.
- For the technician: the reported fault, any access credentials given with consent, and pre-existing damage notes so the bench isn't blamed for a scratch that was already there.

The 6 Must-Have Sections on Every Laptop Job Sheet
Whether it's a printed A5 sheet or a software job card, every laptop intake should capture these 6 sections:
Job Sheet Identification & Date
- Unique Job Sheet Number (e.g., #JS-2026-0318)
- Intake Date & Expected Completion Date
- Shop Name, Address, GSTIN & Support Phone
Customer Contact Information
- Full Customer Name
- Primary WhatsApp Mobile Number (for status alerts)
- Alternate Contact Number & Locality/City
Device & Diagnostic Details
- Brand & Exact Model (e.g., Dell Inspiron 15 3520)
- Serial Number / Service Tag (on the base plate, not an IMEI)
- Customer Reported Problem (e.g., won't power on, hinge loose, keys not working)
- Chassis & Hinge Condition (scratches, cracks, missing feet, screen condition)
- BIOS / login password — only if diagnosis needs it, with consent noted
Accessories Handover Checklist
- Power Adapter / Charger
- Laptop Bag or Sleeve
- External Mouse or Dongle
- Any Peripheral Handed Over (USB drive, external drive)
Financial Estimate & Advance
- Approximate Estimated Repair Cost (₹)
- Advance Cash / UPI Received at Counter (₹)
- Estimated Balance Payable at Delivery (₹)
Essential Legal Terms & Disclaimers
- Customer responsibility for data backup (no liability for storage loss)
- Devices not collected within 30 days subject to storage fees or disposal
- Warranty terms on replaced parts (e.g., 30/90 days warranty)
Three Fields a Phone Job Card Doesn't Need
- Serial Number, not IMEI: laptops don't carry an IMEI at all — using that field name on a laptop sheet is the single most common copy-paste mistake from a phone job card.
- A real accessories list: a phone hands over a charger and maybe a case. A laptop can arrive with a bag, a mouse, and two or three dongles — each one is a possible dispute at pickup.
- Chassis and hinge condition: beyond the screen, a laptop has a lid hinge, a keyboard deck and a base plate that can each carry pre-existing wear worth noting.

Laptop Job Sheet FAQ
Why use Serial Number instead of IMEI on a laptop job sheet?
Laptops and desktops don't carry an IMEI — that's a mobile network identifier. The equivalent unique identifier is the Serial Number (or Service Tag on Dell machines), usually printed on the base plate or under the battery. It does the same job: pulling up past repair history on a repeat visit.
Why record chassis and hinge condition separately from the screen?
Laptop disputes are rarely about the screen alone — a cracked hinge, a missing rubber foot, or scratched palm-rest plastic are common 'that wasn't like this before' arguments. Recording body condition at intake, not just screen condition, closes that gap.
Should the job sheet record a BIOS or Windows login password?
Only if diagnosis needs it, and only with the customer's explicit consent noted on the sheet. Many laptop faults (won't power on, charging port, hinge) never need OS access at all — don't collect a password you don't need.
Is a paper job sheet enough for a laptop repair shop?
For a solo technician doing a handful of repairs a week, yes. It stops being enough once accessories go missing between intake and delivery, or a customer calls asking about a parts estimate and nobody can find the sheet.
